Below you will find a list of the Terms and Conditions that apply to an Authorised Appointed Agent of “HNV GROUP”, when a booking is made through our Agents Panel. All successful reservations made by the appointed agents of “HNV GROUP”, via Hotelsnvacations.com Agents Panel will be confirmed directly to the client to the e-mail address provided.

It becomes the agents responsibility to inform Hotelsnvacations.com should you not receive a confirmation e-mail. This usually occurs as a result of a strong junk mail filter or an incorrectly entered e-mail address. At www.hotelsnvacations.com we offer discounted hotel reservation service. These special low rates are only available for bookings paid in advance. In case of cancellation, our cancellation policy guarantees that the clients payment will be refunded (excluding a small handling fee) provided the client cancels their reservation in a timely manner. The pre-payment option that Hotelsnvacations.com offers also gives the Client a voucher and a guaranteed reservation which secures the rooms he/she booked. This system is advantageous, especially in the Prime season when some hotels might get overbooked and some hotel owners will honour pre-paid reservations over other types of reservation. So the flow is once Hotelsnvacations.com receives the clients payment Hotelsnvacations.com will immediately send across a valid voucher for the clients stay at the respected booked hotel.

Below are Hotelsnvacations.com policies which our Agents need to know when a booking Is made

Advance Bookings (21 days or more before arrival)

If the booking is made more than 21 days in advance of arrival, a 25% refundable deposit will be collected to guarantee the reservation (minimum deposit is 1000 INR, approx. 24 USD depending on the room)

The remaining balance will become due and payable 21 days prior to arrival. The client/Agent will then receive the voucher for their clients his/her stay.

Bookings made within 21 days of Arrival

If the booking is made 21 days or less before arrival, we will ask the client/ Agent to pay the full amount if to confirm the booking. We will send you a Guests Reservation voucher on receipt of the payment.

Cancellation Policy

If the client/ or the Agent on behalf of the Guest has not deposited the amount into our Account (see payment details) within 24 hours of the confirmation of room availability then note that “HNV GROUP” has the right to cancel the booking . However if the guest insist on booking at the same hotel Agents should check for availability and process the booking or attempt to offer the Guest a similar hotel accommodation in the same quality and price classification, but on failing to do so “HNV GROUP” will not be held liable.

Agents need to inform the Guest that if for whatever reason they need to cancel their booking, they need to do so as soon as possible in order to avoid any inconvenience or notify us by email at bookings@hotelsnvacations.com

When a Guest/ Agent books with through Hotelsnvacations.com Agents Panel the reservation is made directly with the hotel chosen. Thus when a Guest/Agent confirms their reservation with Hotelsnvacations.com Agents Panel, they are entering into a contract with the Hotel through us.

Guests Cancellation Policy

Cancellations must be made in writing, quoting the booking reference number, either by Fax to +91 (0)832 2426281 or e-mail to bookings@hotelsnvacations.com

DO NOT CONTACT THE HOTEL WITH CANCELLATIONS. Any information given by the hotel in reservation matters does not affect any reservations made through our service. We will not be bound by any agreement made by you personally with any hotel staff or management. In any case, always request a fax confirmation about anything discussed if you contact the hotel.

Please note that your cancellation has been acknowledged and accepted only when you receive a cancellation confirmation from us. Only proof of receipt is regarded as proof of delivery.

Subject to the above policy we, as agents for hotels, wholesalers, tour operators and other suppliers, reserve the right to levy a whole period or pro-rated room charge for cancellations where the hotel has stipulated this under their own cancellation and no show policy.

No-show and early check out:

No-show (failure to check in without prior message or cancellation sent to us) or early departure without prior notice to us is charged 100% of room revenue.

 

Peak Season Policy (Applicable to all Reservations for December and January):

December and January are the peak tourist season in Goa, with many hotels at popular destinations fully booked. It's a suppliers' market and hotels can charge high deposits and cancellation fees. Please understand that we do not take advantage of this situation. All deposits and charges in these cases cover charges levied against us by the hotels. We will always negotiate with the hotel and the hotel suppliers to refund as much as possible should you have to cancel a peak season reservation.

Before 60 days prior to check-in

We will refund the reservation amount minus a handling charge of five percent of the booking amount with a minimum charge of 500 INR (approx. 10 USD).

Cancellations received between 60 and 21 (twenty one) days before arrival

As a rule, one night's room charge for all rooms is levied and we will refund the remainder. The charge may be higher or lower as the case may be.

Cancellations received less than 21 (twenty one) days before arrival

As a rule, three night's room charge for all rooms is levied. This amount might be higher or lower, depending on the destination and the hotel's policy.

Please not that these are the rules and we will always try to negotiate the best solution for you with wholesale suppliers and hotels. The policy is strictly applied for the peak days around Christmas and New Year. At the beginning of December and towards the end of January we can usually refund more.

Regular Policy (Applicable for Reservations for February until November):

If the booking is made more than 21 days in advance of arrival, a 25% refundable deposit will be collected to guarantee the reservation (minimum deposit is 1000 INR, approx. 24 USD depending on the room).
You will receive a confirmation voucher for your Guests stay and the balance due.

The remaining balance will become due and payable 21 days prior to arrival. Once we receive this payment you will then receive the reservation voucher to the Hotel/ Resort of your Guests stay.

Before payment

If the booking is made more than 21 days in advance of arrival, a 25% refundable deposit will be collected to guarantee the reservation (minimum deposit is 1000 INR, approx. 24 USD).

The remaining balance will become due and payable 21 days prior to arrival. You will then receive the voucher for your stay.

Upto 21 (twenty one) days before arrival

If the cancellation is processed within the said 21 (twenty one) days but more than 7 days prior to check-in, the cancellation fee is usually five percent of the booking amount with a minimum charge of 500 INR (approx. 12 USD).

Within 7 days before arrival

If the cancellation is processed within seven days of arrival, we refund your payment on a case-by-case basis after deduction of the cancellation fee of five percent (minimum 500 INR) as stated above. The usual charge is one-night's accommodation for all rooms.

We will always try to refund as much as possible. In the high season the case may be different and it might occur that your payment cannot be refunded. Due to our location in Goa we can negotiate with hotels and suppliers to always get the best solution for you in these cases.

After check-in date
After the check-in date, the no-show policy applies, i.e. if there is no prior notice to us, usually 100% of the room charge for the entire stay will be levied.

Credit Card Refunds: Please note that refunds will be made in the form of a credit to your card account.

All credit card refunds will be processed in a timely manner. The refund process is dependent on your billing cycle with the credit card company. Once the refund instructions leave our office it can take anywhere from 10 - 45 working days for the proceeds to arrive in your account.

Amendments:

An amendment to the original reservation can be made subject to the availability of rooms. There will be a handling fee of 200 INR (approx. 5 USD) for the amendment, except where this involves additional days or number of rooms booked.

If the amendment results in a refund of payment (reduction of stay or number of rooms), a handling fee will be charged on the amount to be refunded equivalent to 5% or 500 INR (approx. 12 USD) whichever is greater.

Check In/Out Time:

Normal policy of hotels displayed on our web site is for check in time from 1200 hrs IST(Noon) and the check out time before 1000hrs IST (10a.m.)

Credit Card Declined:

If the credit card you are using is not accepted by our bank for any reason, you will be given the option to enter the details of an alternative card within 36 hours. Otherwise, we may no longer be able to guarantee your reservation.

Illustrations:

Photographs and illustrations and other descriptive material are for promotion purposes only. They do not represent any benefit that will be included in any arrangements made by you.

Non Availability of Any Amenity Mentioned:

Any particular amenity mentioned but not available on the day of your Guests arrival due to any reason whatsoever nor are we responsible for the exact location of your chosen room type within the hotel which has been booked through www.hotelsnvacations.com Agents Panel - HnV Group will not be held responsible. Any dissatisfaction as to the services provided by the hotel should be taken up with the hotel management. HnV Group's responsibility ends once your chosen hotel has been successfully booked for your Guest, within the limits of your booking request and the booking voucher is sent to you.

www.hotelsnvacations.com is only a hotel booking portal, that provides you information on the hotels listed with us. Your choice of hotel is purely yours based on the information provided to you, we do not recommend nor are we agents for any particular hotel. Photographs and illustrations and other descriptive material are for promotion purposes only. They do not represent any benefit that will be included in any arrangements made by you.

Suitability of Product

We do not represent that any travel product or service set out on our web site is suitable for you. You release Hnv Group from any claims in relation to the travel products and services described on the web site, including claims that the products or services are not suitable.

Travel Insurance

We strongly recommend that all clients take out travel comprehensive insurance when making a booking.

We recommend that insurance covers loss of deposit and other monies through cancellation, loss or damage to personal baggage and loss of money, medical expenses, and additional expenses to cover hotel accommodation and repatriation costs should any services need to be extended or curtailed due to illness or other insurable risk.

All hotels utilize their own booking and reservations systems. When you arrive at the hotel, the guest name (yours) or name which is stated on the booking form - will be your reference at the hotel. The hotel room will be reserved under the name that was specified on the booking form at the time of making the booking.

Room rate quotations given at the time of securing your booking on Hotelsnvacations.com is the price which you will pay for your accommodation. Unless otherwise stated, prices exclude breakfast and city tax. In addition, you shall also pay in full for any additional services that the hotel provides, which are not explicitly covered by the quoted Hotelsnvacations.com roomrate. (e.g. Room service, minibar use etc.)
Prices for hotels rooms are confirmed in the local currency of the country you are booking for.

Special requests such as those entered into the Remark/Request box at the time of making your booking, will be delivered to the hotel, however neither the hotel nor “HnV Group” shall be held liable should the hotel fail to accommodate such requests.

“HnV Group” sells accommodation from an inventory supplied by each hotel, and does not over-sell that inventory. “HnV Group” dose not accept any liability for unavailability of rooms caused by the hotel overselling its own room inventory.
